Manage reports

Learn how to manage reports in Snow License Manager.

Find a report

To locate a report, use the search box on the All Reports view. As you enter search criteria, any matching reports will show. Use the Categories dropdown menu to filter results. By default, the system searches all categories, but you can refine your search to Application reports, for example, by checking the appropriate box.

Show report

To populate a report with data from your environment:

  1. From any list view (All reports, Report files, or Scheduled reports), select the name of the report.

    The Report detail view appears.

  2. Populate the report with current or cached data from your environment.

    • To populate the report with the current data from your environment, select Show report.

    • To populate the report with cached data from your environment, select Show cached report.

      note

      The report can only be populated with cached data if caching is enabled, see Enable or disable caching.

To refine the data populated in a report, use the filtering features available in the report criteria panel. See: Manage report criteria.

Share report

Use the Share report feature to share user-modified reports with other users.

  1. In the All reports view, click the name of the user-modified report you want to share.

  2. From the context menu, click Share report.

    The Share report dialog box appears.

  3. Check the names of the users you wish to share this report with, and then click Save. The report will appear in the top section of the All reports view for the selected users, assuming they have the correct access rights.

To view a shared report the signed-in user must have access rights to the standard report that the user-modified report is based on.

Export from report details view

  1. From any list view, click the name of the report to be viewed.

    The Report detail view appears.

  2. Click Show report.

  3. From the context ContextMenuIcon.png menu, select Export, and choose the type of file you want to export to (CSV, PDF, XLS/XLSX, or XML) from the dropdown menu.

  4. Select to Save to export the file.

Your file will be saved to your device in accordance with your browser settings.

Export report to file

The export/system-save feature saves the data of a report configuration to the system as a file. By saving to the system, you can refer back to your reports, share them with other users, or download to a device at any time.

Commonly-used file formats are supported: Comma-separated values (CSV), Portable Document Format (PDF), Microsoft Excel (XLS/XLSX), and eXtensible Markup Language (XML).

When exporting to Microsoft Excel, counts and totals are saved using Excel formulas. In this way, counts and totals will remain consistent with subsequent offline editing of the data.

note

In Excel, the maximum number of arguments for a formula is 256. Consequently, it is not possible a save report with a formula that exceeds 256 arguments. In such cases, only the value of a count or total is exported and any subsequent editing of the file contents may result in data inconsistencies.

  1. In the All reports view, click the Download Download2.jpg icon next to the report.

    The Export to file dialog box appears.

  2. In the dialog, you can change the Name and Description fields for the report.

  3. Select the Type of file to export to (CSV, PDF, XLS/XLSX, or XML) from the list.

  4. Click Save to export the file.

To view a saved report, from the Reports category, select Report files.

Documents saved in the system relating to computers, mobile devices, users, agreements, or licenses can be extracted through the Show related documents feature. This feature is accessible from the context menu for reports, such as All computers, that can have attached documents. If the Show related documents option doesn't appear on the context menu, you are viewing a report for which documents are not relevant. To extract related documents:

  1. In the All reports view, click the name of the report.

    The Report details view appears.

  2. Click Show report.

  3. From the context menu, click Show related documents.

    The Documents view appears.

  4. To download all documents, check the Select all box, otherwise check the box or boxes next to the specific document or documents you want. Select Export. A compressed file containing the documents you have selected will be downloaded to your device.

Enable or disable caching

Some reports can take a long time to run. Use the cache reports functionality to run the reports from a cache instead of from the live database. This will enable you to run reports faster.

To enable or disable caching for a single report:

  • On the context menu for the report, select Enable caching or Disable caching
